HTC Keilaniemi consists of six buildings (buildings A-F) and an underground parking garage (floors K1 and K2) as well as a parking lot on the property.

HTC Keilaniemi offers stylish office spaces and carefully considered services for modern business housed in a modern building. The content of this guide only applies to properties owned by MEAG and Ilmarinen (buildings A, B, C and D).

Lobby Service and Visitor Reception

The property has lobby spaces and reception desks in both the A and D buildings. Coor Service Management Oy is responsible for lobby services.

The basic service level includes the following tasks:

  • reception and guidance of visitors
  • notifying the hosts of the arrival of visitors
  • receipt and delivery of items arriving by courier in accordance with the instructions given by the tenant
  • receiving and forwarding service requests to the parties involved (maintenance requests primarily through JULMO)
  • ensuring the day-to-day security of the buildings (monitoring and responding to access control, security alarm system and camera surveillance if necessary)

The lobby service is available on weekdays from 8 am to 4 pm.

The visitor fills out a visitor's card in the lobby. If the visit lasts more than 2 hours, the visitor will also need a separate parking permit which should be prominently displayed on the windscreen of the car. The lobby will notify the host of the arrival of the guest, who will pick up the guest from the lobby. To speed up service, it is advisable to notify the reception desk of larger groups of visitors ahead of time so that visitor cards can be prepared in advance.

At the end of the visit, the visitor's passes should be returned to the reception desk or, after office hours, to the mailbox provided for this purpose.

Postal Service

Coor Service Management Oy is responsible for postal service at HTC. In the basic service, mail can be picked up from the lobby and outgoing mail is brought to the lobby.  A wider range of postal services can be negotiated with Coor.

Restaurant

Let’s Play offers tasty and nutritious dining experiences throughout the day. Along with morning porridge, there is a wide selection of delicious buns, pastries and snacks.

The lunch buffet includes a fresh salad bar, three hot options, desserts, a selection of freshly baked bread & fresh coffee.

In addition to the café and lunch menu, Let ́s Play also provides catering for the conference rooms as well as in the customer's own premises. The selection of dishes includes an array of mouth-watering delicacies for both bigger and smaller appetites.

The café is open on weekdays from 8:00-14:00.

Porridge is served on weekdays from 8-10

The lunch buffet is open on weekdays from 10:30-13:30

Conference Facilities

Conference facilities are located on the 1st floor. There are a total of 10 meeting rooms of different sizes including for up to 60 people. Each meeting room has a WLAN connection and is equipped with a video projector or monitor.

Meeting rooms are charged on an hourly basis and are booked at the restaurant (letsplay@amica.fi or 040 660 4776).

Car Wash

There is a car wash service available for HTC companies on level K2.  The service is not available during the COVID-19 pandemic.

Hair Salon

The barber shop-hair salon is located on the first floor of building C. The service is currently not available.

Gym

Companies in buildings A, B and C have access to a gym located on the first floor of building C. This service is free at the moment. The gym is available 24/7. Bringing family members and other outsiders to the gym is forbidden.

When using the gym you must follow the instructions and rules below. Instructions are also on display at the gym.

1.      Only a maximum of 5 people at a time are allowed to be in the gym during the COVID-19 time.

2.      You are not allowed in the gym if you have symptoms or are ill.

3.      Clean the hand-touchable parts of the device before and after use.

4.      Follow THL instructions: keep a distance of 1-2 m from others, cough into a handkerchief or your sleeve (then wash your hands). Wash your hands often.

5.      Do not leave personal belongings in the gym or changing rooms. The cleaners put all the items found on the premises in a laundry basket, from which they are delivered for recycling.

6.      Items are only allowed to be stored in the locker room and lockers during gym use.

7.      The property owner is not responsible for clothes and belongings left in the gym and changing rooms.

8.      Report a defective device to the lobby or htckeilaniemi@newsec.fi.

9.      The use of magnesium powder is forbidden.

10.   Take the equipment you used back to its proper place and turn off unnecessary electrical devices when you are the last one to leave the gym.

11.   Bringing family members and other outsiders to the gym is forbidden.

12.   Use of the gym is always at the user's own risk.

Shower Facilities

On the first floor of building D you will find small shower facilities.  Lockers cannot be rented from this space for longer use.

For people who cycle to work and others who use their trip to work for physical exercise, for example, there are separate shower rooms, which can be found on the first floor of buildings B and C. It is possible to rent lockers for longer use from these facilities. Contracts are made on a company-by-company basis.

Cleaning

The property owner is responsible for organizing the cleaning of the common areas. Each company is responsible for arranging the cleaning of the premises it has leased. When choosing a cleaning company, consider the possible need for a cleaner's cupboard. The property does not offer cleaning cupboards.

Sodexo is currently responsible for cleaning HTC's common areas. Coor Service Management also cleans at the site.

Waste Management

Basic waste management is arranged by the property owner. Each building has its own waste collection room. Each company is responsible for transporting the waste it produces to the waste collection area and sorting it into containers for each type of waste.  It is the property owner's responsibility to maintain the cleanliness of the waste collection room and to transport the waste in accordance with the collection fractions of the property from the waste collection room.   It is the responsibility of the companies to instruct the cleaners they use on matters related to the use of the waste collection area.

Basic waste management includes normal office waste. Basic waste management does not include waste caused by the company's own business activities or waste produced in the moving process. Special needs, e.g. in connection with the move, must be agreed with the property manager (e.g. a waste skip or other waste loads out of the ordinary).

The fractions collected in the property are:

  • office paper
  • magazines and advertisements
  • bio-waste (only in the waste facility of building B)
  • mixed waste to be incinerated
  • metal packaging
  • glass
  • energy fraction
  • batteries
  • toner cartridges
  • SER, i.e. electrical and electronic waste (only small products, e.g. telephones, keyboards, mice, etc.)

Window Cleaning

The responsibility for cleaning the windows and glass surfaces of the building is divided between the property owner and the tenant as follows:

  • Each company is responsible for cleaning the interior of the windows of the premises it has leased. For inward-opening windows, it is also responsible for cleaning external surfaces.
  • The tenant is also responsible for washing the exterior surfaces with regard to those exterior surfaces that can be safely washed without safety devices (basket crane, safety harnesses, etc.) such as the internal parts of the glazed railings of the balconies and the balcony doors and 7th floor sea-facing terrace windows.
  • In addition, the tenant is responsible for cleaning the interior windows and the interior and exterior glass surfaces of the door glass and glass walls adjoining their own premises.
  • The property owner is responsible for washing the window surfaces of common areas and the exterior surfaces of the fixed windows using a basket crane or climbing technology.
  • In addition, the property owner is responsible for washing the windows with metal security bars on the first floor.

The windows will be washed once a year by the property owner.

Property Management and Defects Notification

Property management services are provided by Are Oy.  The maintenance man's main working hours are from 7 am to 3 pm.

Normal defect notifications are made primarily via the JULMO link directly to the service book and secondarily via the lobby service.

The building services company offers 24/7 service. Only work classified as urgent is performed during on-call time. In emergencies, a request for help outside of working hours is always made by calling tel. 020 530 5700.  If there is a problem in the tenant's own premises,  please provide the exact address, floor, room ID and instructions on how the on-call technician can access the premises, e.g. does a company representative needs to be present or can they have access using a master key.

Access Control

An access control key is required to move around the buildings.

A responsible person has been appointed for each company as the company's access control contact person. Only the contact person may order access rights to the company's premises. All change requests and additions are made using the key order form.

The access control key is personal and it is strictly forbidden to pass it on to another person. If the key is lost, the loss must be reported to the lobby immediately to remove access rights. The property owner charges € 30 + VAT for lost keys to the company whose employee or subcontractor has lost the key.

The access control doors are accessed by showing the access card to the reader device, which unlocks the doors. The unlocked access control doors are exited by pressing the release button.

Outside office hours, a keyboard is used in addition to the normal reader when entering the property from an exterior door. After the card is displayed, a personal pin code is entered into the keypad, after which the door opens. The personal pin code is given along with the access control key.

Burglar alarms are activated on almost all access-controlled doors outside office hours.

The alarm is sent to the security company if the door is kept open continuously for more than 2 minutes, it is opened incorrectly using the emergency button or the lock tongue otherwise remains in the open position.

For this reason, in the evenings and at weekends, special care must be taken when using access-controlled doors. The cost of any false alarms will be charged to the company whose employee or subcontractor set off the alarm.

The properties are equipped with video surveillance.

Parking

Parking in the Garage

Parking spaces in the garage are not designated. You can park in a space of your choice.

The opening of the garage entrance and exit doors is connected to access control. Use caution due to lane separators, adjacent city parking spaces, booms, etc. Driving directly behind another car is strictly forbidden. The property does not compensate for damage caused by a boom in a rear-end situation. The entrance and exit of the hall are monitored by camera surveillance.

The parking spaces in the property area are for work use only. It is forbidden to store goods and boats etc. in the parking spaces.

Visitor Parking

Parking spaces are reserved for visitors in the area in front of the main entrances. Visitor parking spaces are named and marked with signs. Visitors leave their registration number in the lobby.

Visitor parking spaces are not intended for use by staff working on the property. It is recommended that visitors be informed in advance that parking spaces are limited and unauthorized parking may result in a parking ticket.

Parking is monitored by NordicPark Oy.

Designated Parking Spaces

Company-specific parking spaces in the outdoor parking area are marked with sings of  company's names. These spaces are for company use only. The company itself determines the people who are allowed to use those spaces.  Spaces are marked by the property owner.

Bicycle Spaces

Bicycles have their own spaces on fixed racks. Bike racks are located in front of each building on the ground level. There are also in the garage access controlled space for bikes. Parking bicycles elsewhere is forbidden. Bicycles parked in the wrong places may be moved away by the property management company. The costs of the transfer will be charged to the bicycle user.

Motorcycles

Parking for motorcycles has been assigned its own marked place next to the wall of building D.

Handicapped Parking Spaces

Parking in a handicapped parking space requires a disabled parking sign issued by the authorities, prominently displayed on the windscreen of the car. Improper parking may result in a parking ticket.

Charging Stations for Electric Cars

The charging points for electric cars are located in the parking area of the yard, in front of building A, in separately marked places. Parking permits for a maximum of 4 hours of charging are available in the lobbies of buildings A and D. Charging is not allowed in the parking garage.

Parking Control

Parking is monitored by NordicPark Oy.  Any complaints about parking tickets must be made in writing to it.

The property is not responsible for any damage to vehicles in the parking areas.

Security

The site security system consists of area guarding, locking, burglar and alarm systems, an access control system, visitor cards and a surveillance camera system. In addition, some companies still have company-specific ID cards. The property owner is responsible for perimeter security i.e. district guarding, and burglar and alarm systems cover the outer shell. The tenant is responsible for the internal security of their own premises with their own equipment and possible district guarding. Avarn Security is currently responsible for security at HTC.

To avoid unnecessary alarm visits, evening events must always be arranged in advance. Without prior notice, the security guard will check all alarms generated and the cost will be assigned to the company that caused the alarm. The security company does not accept direct contacts from companies regarding the premises under the control of the property owner.

Rescue Plan

Rescue plans have been drawn up for the properties. The property has a rescue organization in which designated individuals have been trained and instructed to act and provide guidance in emergencies.

Lifts

Buildings A, B and C have two passenger lifts and Building D has three passenger lifts. The lift can accommodate 13 people with a weight limit of 1000 kg. The dimensions of the lift are:

  • doorway 210 x 90 cm
  • interior of the cabin
  • height 218 cm
  • width 140 cm
  • depth 130 cm

In case of problems, follow the instructions in the lift. The lift has a 24-hour voice connection to the lift service company. Problems with the use of lifts should be reported via JULMO or to lobby service, which will forward the repair request.

The push buttons for the lift are in the access control system, and the floors cannot be accessed without the access control key unless otherwise agreed with the tenant. Only the 1st floor can be accessed without an access control key.

If keys, etc. are dropped into the lift shaft, the owner of the key pays an on-call fee in accordance with the price list of the lift company. Otherwise, the keys are retrieved from the shaft during the next service call. In both cases, the job request is made via the JULMO link.

The Use of Fire

Due to the risk of fire, no candles or other open flames may be lit in any part of the property. For celebrations or similar events, small outdoor fires may be used outside the building under the following conditions:

  • The maintenance company and the security company must be notified of the celebration/event in advance. Permission must also be obtained from the property manager.
  • The person lighting the fire is always responsible for all safety-related matters, such as monitoring and extinguishing the fire, and for any damage it causes.
  • Fires should be placed away from the building and should not cause damage to the surface material of the building or yard.
  • A non-combustible protective material must be placed under the outdoor fires to protect the paving from stearin splashes.
  • The organizer of the celebration/event is responsible for removing debris etc. from outdoor fires from the property area.

Modifications to the Premises

Modifications to the premises must always be agreed in writing with the property owner. Contact your property manager or technical property manager in time when planning modifications.

Telecommunication Connections

If an external installer needs to visit a cross-connect cabinet or a property MDF, the property manager must be notified in writing of the installation time and company in time. Doors will not be opened for the installer if no written request has been made and no customer or support from the property manager or technical property manager can be found for the visit. The identity of the installer is always checked during the visit.

Illuminated Advertisements

HTC's neon signs are located in well-defined areas at the top of the buildings. According to official permits, an illuminated advertisement must meet certain criteria. Contact your property manager or Business Park Manager for more information.

Deliveries, Service Traffic and Removals

Goods are ALWAYS transported from the side doors of the buildings. The transport of large loads through the main doors of buildings A and D is strictly forbidden.

If the goods are delivered outside normal office hours, the recipient must agree on different arrangements with the lobby to avoid unnecessary alarms.

Storage of Goods

Goods arriving at companies must be transferred immediately to the company's own premises. It is strictly forbidden to store goods in the corridors, parking spaces, yards or anywhere else on the property. Property maintenance may remove such goods and the resulting costs will be charged to the owner/consignee of the goods.

Smoking

Smoking is only allowed in specially designated areas in the yard of the property. Smoking is prohibited in all areas of the property, including the garage, as well as within an eight-metre radius of the property entrances. The service company is responsible for emptying the ashtrays.

Advertisements and Announcements

The attachment/placement of advertisements, billboards and notices in the building's common lobby or stairwells, lifts, exterior and stairwell doors, as well as outdoors on the building's facades, parking spaces, courtyard and entrance is prohibited without the written permission of the manager. Unauthorized advertisements will be removed by the property owner and the removal costs will be billed to the advertiser.

HTC tenants may place advertisements on notice boards in elevators in buildings A-C for a limited period of time. Learn more from the Business Park Manager.

Evening Events

Events held out of working hours must be arranged well in advance. The notification is given to the lobby service and as a cc to the Business Park Manager. The lobby service will take care of the matter with the security company and take care of any door opening controls and alarm system changes. The presence of a guard is necessary, for example, if the exterior door is opened.

Contacts and Communication

One or, if necessary, couple persons must be nominated for each company to whom announcements concerning the properties are sent. The role of the contact person(s) is to inform the company's staff in the manner agreed in the company.

Property Management

The property management act as a link between the tenants and the landlords. The Business Park Manager is responsible for, among other things, tenant satisfaction, service management, site development and leases. The property manager's main area of responsibility is to take care of the safety issues, technical maintenance and repairs of the property.  The work is carried out in close cooperation. For larger projects, a project manager will also join the team.
